Job Title: United Way of Pennsylvania Operations Coordinator – Part-Time

Reports to: UWP President

Essential Functions of the Job:

Support bookkeeping and financial accountability functions including:

  • Open and process mail
  • Code invoices for approval by President, and submit to accountant for payment on a bi-weekly basis
  • Record checks in a log before submitting deposits to the accountant on a weekly basis
  • Coordinate membership renewal notices with accountant annually

Support UWP President

  • Coordinate Board of Directors meeting dates and locations, or by conference call when applicable.
  • Distribute board meeting materials by maintaining secure board access web page
  • Scribe minutes and file official documents.
  • Track length of board service and help UWP President maintain balance in board leadership per the requirements of UWP’s bylaws

Knowledge of Microsoft and/or Adobe design software to oversee design and final edits for all UWP external communications

  • Produce visually appealing products
  • Adhere to United Way brand standards

Demonstrated experience supporting offices with cloud-based systems and VOIP phones

Manage the online registration process, and integration with online payment, for all UWP events, webinars and trainings

Maintain an up to date organizational calendar of events on UWP’s web site

Maintain up to date contact and distribution lists for UWP

Support office operations

  • Order and maintain supplies in an orderly and "just in time" manner to include bulk items, postage, copier and general materials 
  • Manage all mailings (simple and bulk)
  • Oversee the phone and office equipment ensuring office needs are met and assisting with troubleshooting for other staff as needed
  • Update all organizational systems with membership details (website, Office Outlook, Constant Contact, etc.)

Organize electronic files and implement UWP document retention policies

Minimum Requirements:

  • Strong oral and written communication
  • Knowledge of Microsoft and/or Adobe design software
  • Proficient in all Microsoft products
  • Understanding of cloud-based systems and VOIP phones for office support functions 
  • Minimal overnight travel required for Annual Conference (2-3 nights). 

Compensation and Benefits

Part-time employees of United Way of Pennsylvania earn Paid Time Off based upon the percentage of a full time schedule worked. They are also eligible to participate in our 401(k) plan. Group life insurance is available to part-time employees who work an average of 20 hours or more per week after 12 months of service. These are the exclusive list of benefits available to part-time employees

Hiring range for this position is $17 to $20 per hour, depending on experience. Employee will work an average of 20 to 25 hours per week. Flexible scheduling of these hours will be considered, but employee must work within the range of normal business hours.
