Job Title: Executive Assistant to the President and CEO

The Pennsylvania Credit Union Association (PCUA) is seeking a full-time employee to serve as Executive Assistant to the President and CEO. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant also serves as a liaison to the board of directors and senior executive team; organizes and coordinates outreach and external relations efforts; and oversees special projects. This candidate must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 The primary duties of this position include the functions listed below.

  1.  Completes a broad variety of high-level administrative tasks for the President & CEO including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is often confidential; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Organizes and prioritizes large volumes of information and calls.  Takes messages or replies to routine and non-routine questions via email or telephone, as necessary.

  2.  Acts as liaison with other departments and outside organizations, including President & CEO’s direct reports, PCUA boards of directors, credit union CEOs and staff, and national credit union leaders and other association colleagues.

  3.  Assists the President & CEO in ensuring that the directives and actions of the boards are executed.

  4.  Assists in ensuring that the boards of directors are kept fully informed on the operations of the organizations and on all important factors influencing them through regular written updates or other communications.

  5.  Participates in PCUA boards of directors meetings, and transcribes minutes for those meetings. Acts as recording secretary to the boards of directors.

  6. Coordinates PCUA board of director reports and material to be provided at each meeting. Supports arrangements for meetings or board functions; handles registration and travel arrangements for seminars, conferences, etc. for board and President/CEO, as requested. Ensures that all travel requests and expenses are within travel policy.

  2. Proficient with Microsoft Office Suite products (Outlook, Excel, Word, PowerPoint).

  3. Workflow Management - Manage time effectively, meet deadlines and produce quality work requiring little or no review.  Manage high volume of work assignments.

  4. Judgment - Exercise good judgment and appropriate decision making within scope of job.

  5. Proven ability to handle confidential information with discretion.

  6. Communication – Speaks, listens and writes in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.

  7. Relationship Management - Maintain strong and effective interpersonal skills and effective working relationships with all stakeholders, both internal and external.

  8. Ability to travel and overnight stays as necessary (i.e., quarterly board of director meetings, etc.).

  9. Able to work evening or weekend hours as needed.

  10. Maintain regular and consistent attendance.

EDUCATION/EXPERIENCE:

Associates degree in Business Administration or related field and 5+ years’ experience supporting C-Level executives preferred. A comparable combination of education and experience may be considered.
