Board Administrator - The Pennsylvania Medical Society, a statewide professional association which provides representation and advocacy for physicians, is seeking a Board Administrator.

POSITION SUMMARY

This position manages all operational aspects of the Pennsylvania Medical Society Board of Trustees and associated committees of the Board.  Will direct the Society’s formal relations with the Federation of Medicine at the national level by managing the Pennsylvania Delegation to the American Medical Association (AMA).  The Board Administrator will provide management, supervision, and oversight to the Executive Office team.

QUALIFICATIONS

  • 5 Years’ experience in a C-Suite office setting, Bachelors degree preferred;
  • Experience working with Associations at a state or national level;
  • Experience working with Board Members in a tactful, diplomatic and professional manner to ensure the fulfillment of their expectations;
  • Able to prioritize and manage multiple tasks, remain organized, and have an intense attention to detail;
  • Excellent verbal, written (esp. spelling & grammar), and presentation skills;
  • Soft skills include: Interpersonal skills, Independent judgement, Self-motivation, and ability to work with minimal supervision;
  • Supervisory experience preferred;
  • Superior work experience using MS Office products, database management experience helpful;

Physical abilities include speech, sight, hearing, and mobility.

SPECIAL REQUIREMENTS / DUTIES

Two weeks of out-of-town travel are required for AMA Meetings.  Regular and/or special Board meetings require extra hours of work to prepare and execute the meetings.  Monthly Executive Committee teleconferences occur after hours.  PAMED’s House of Delegates-Annual Education Conference requires extra hours of work prior to the meeting, as well as the weekend of the meeting (held in October).

  • Provide direct supervision of three Executive Office team members: Associate Director, House Operations & Governance Support; Executive Office Associate Administrator; and Executive Office & Conference Center Assistant.
  • Manage daily operations of the Executive Office to include maintaining adequate staffing levels, approving PTO, managing work flows and handling personnel issues while maintaining strict confidentiality.
  • Manage the operation of PAMED’s Board of Trustees by: preparing agendas for the six regularly scheduled meetings of the Board of Trustees by soliciting and compiling background materials from the staff, physician leaders, and component organizations; managing the electronic Board agenda using a SharePoint platform; preparing minutes following meetings; and tracking implementation of previous Board actions.
  • Manage the operation of PAMED’s Executive Committee by: preparing agendas for their monthly meetings through soliciting and compiling background materials from the staff and physician leaders; managing the electronic agenda using a SharePoint platform; preparing minutes following meetings; and tracking implementation of previous Executive Committee actions.
  • Manage the operation of the Pennsylvania Delegation to the AMA by: preparing for and staffing two yearly national meetings, coordinating with five-member states of the Great Lakes Coalition, coordinating policy positions for the AMA Delegation, tracking implementation of Pennsylvania resolutions and implementing special projects.
  • Manage the scheduling for and correspondence from the Board Chair to various constituencies.

This is a Full-time, Exempt, Monday through Friday position.  A comprehensive salary and benefits package (Medical, Dental, Vision, Group & Voluntary Life, and 401k with match and profit sharing) is offered.
